The Pharmacy module includes 6 regulatory and analytical reports. All support date range filtering.

6.1 Dangerous Drugs Record

Regulatory requirement under the Ghana Pharmacy Act for Class A and Class B drugs.

Shows a detailed record of every dispensing of dangerous drugs:

  • Drug name and schedule
  • Patient name and ID
  • Doctor name and license
  • Quantity dispensed
  • Batch number and expiry
  • Dispensed by
  • Date and time

How to use:

  1. Go to Sidebar > Reports > Dangerous Drugs Record
  2. Set the date range
  3. Optionally filter by drug, location, or dispenser
  4. Print for regulatory inspection

6.2 Controlled Substances Log

Focused report for Class A Part II (narcotic/controlled) drugs only.

Shows the same detail as the Dangerous Drugs Record but filtered to the strictest drug category.

How to use:

  1. Go to Sidebar > Reports > Controlled Substances
  2. Set the date range
  3. Optionally filter by drug or location
  4. Use for narcotic registers and FDA inspections

6.3 Expiry Report

Shows batches that are near expiry or already expired:

  • Product and drug name
  • Batch number
  • Expiry date
  • Days until expiry (or days past expiry)
  • Current stock in batch
  • Location

How to use:

  1. Go to Sidebar > Reports > Expiry Report
  2. View batches within the near-expiry warning window
  3. Identify items to pull from shelves or discount

6.4 Movement by Category

Shows dispensing volume grouped by therapeutic category:

  • Category name (analgesics, antibiotics, antimalarials, etc.)
  • Total items dispensed
  • Total revenue
  • Percentage of total dispensing

How to use:

  1. Go to Sidebar > Reports > Movement by Category
  2. Set the date range
  3. Analyse which drug categories are most active

6.5 Prescription Fulfillment

Shows prescription status overview for the period:

  • Total prescriptions created
  • Active, partially dispensed, fully dispensed, expired, and cancelled counts
  • Fulfillment rate (fully dispensed / total)
  • Average time to full dispensing

How to use:

  1. Go to Sidebar > Reports > Prescription Fulfillment
  2. Set the date range
  3. Optionally filter by doctor, status, or patient
  4. Monitor prescription turnaround

6.6 Override Log

Shows all emergency overrides for audit and regulatory review:

  • Override type (emergency dispense, quantity exceeded, near-expiry)
  • Drug name
  • Patient name
  • Reason provided
  • Approved by (supervisor)
  • Requested by (cashier/pharmacist)
  • Date and time
  • Metadata

How to use:

  1. Go to Sidebar > Reports > Override Log
  2. Set the date range
  3. Filter by override type or location
  4. Review for compliance and pattern analysis
