Maintenance work orders track preventive and corrective work on assets.

Create a Work Order

  1. Open Maintenance.
  2. Select the asset when known.
  3. Enter the type, title, priority, assignee/vendor, scheduled date, estimated cost, checklist, parts, downtime, and notes.
  4. Save the work order.

Prerequisites: confirm whether the work is preventive or corrective, who owns it, whether downtime is expected, and whether Inventory should supply any parts.

Status Transitions

Maintenance supports:

  • Open — work has been logged.
  • Scheduled — work is planned for a specific date.
  • In Progress — work is underway.
  • Completed — work is done.
  • Cancelled — work will not proceed.

Use the Maintenance filters for status, priority, overdue work, next 14 days, or unscheduled work.

Preventive schedules generate due work orders without duplication. Every checklist task must be complete before a work order closes. When Inventory is enabled, a part can reference a stock product and location; completion issues the quantity once. Standalone businesses record quantity and cost without stock movement.

Expected result: the completed work order retains task evidence, actual labor and parts cost, downtime, completion details, and the next preventive due date when applicable.
