Track paper prescriptions digitally for dispensing, refill management, and compliance.

3.1 Viewing Prescriptions

  1. Go to Sidebar > Pharmacy > Prescriptions
  2. Browse all prescriptions
  3. Filter by:
    • Search (prescription number, patient name, phone, doctor)
    • Status (Active, Partially Dispensed, Fully Dispensed, Expired, Cancelled)
    • Date range

3.2 Creating a Prescription

  1. Click New Prescription
  2. Enter patient information:
    • Patient name
    • Phone number
    • ID type (Ghana Card, NHIS, Passport, Other)
    • ID number
  3. Enter prescriber information:
    • Doctor name
    • License number
    • Facility name
  4. Set the Prescription Date and optional Expiry Date (defaults to 6 months)
  5. Enter diagnosis and optional notes
  6. Add prescription items:
    • Select a drug from the catalog
    • Enter quantity prescribed
    • Enter dosage instructions (e.g. "Take 2 tablets")
    • Frequency (e.g. "twice daily")
    • Duration (e.g. "5 days")
    • Route (oral, topical, injection, inhalation, etc.)
  7. Set Refills Allowed (default from settings, typically 3)
  8. Click Save

A prescription number is auto-generated in the format RX-YYYYMMDD-XXXXXX.

3.3 Prescription Statuses

Status Meaning
Active Prescription created, ready for dispensing
Partially Dispensed Some items dispensed, others remaining
Fully Dispensed All items dispensed to prescribed quantities
Expired Past the expiry date
Cancelled Manually cancelled by pharmacy staff

3.4 Editing a Prescription

  1. Go to the prescription detail page
  2. Click Edit
  3. Update patient info, prescriber info, or items
  4. Click Save

You cannot edit a prescription that is Fully Dispensed or Cancelled.

3.5 Refilling a Prescription

  1. Go to a Fully Dispensed prescription
  2. Click Refill
  3. The system checks eligibility:
    • Prescription must not be expired
    • Refills remaining (refills_used < total_refills_allowed)
    • All items must be fully dispensed
  4. On refill, all item quantities are reset to zero for the next dispensing cycle
  5. Refill count is incremented

3.6 Cancelling a Prescription

  1. Go to the prescription detail page
  2. Click Cancel
  3. Enter a cancellation reason
  4. The prescription is marked as Cancelled
