Accounting settings are managed from the Accounting Settings hub.
Where to find it: Sidebar > Settings > Accounting Settings
Access is controlled by the accounting settings permission. In many businesses this is limited to the owner or finance administrator.
16.1 Core Settings
Core Settings manages:
- Accounting Basis
- Fiscal Year Start
- Read-only summary of the shared tenant Currency & FX setup
Base currency stays fixed to GHS for the Ghana IFRS model in the current version.
16.2 Tax & Compliance Settings
The live Tax & Compliance settings page includes:
- Tax Scheme
- VAT Due Day
- WHT Due Day
- Low Cash Threshold
16.3 Features & Modules
This page manages:
- Business Mode
- Simple Mode
- Projects
- Tags
- Approval Workflows
- Batch Processing
- Reports
- Advanced Accounting
- Tax Settings
- Audit & Compliance
- Period Close & Year-End
16.4 Online Payment Settings
Configure:
- Paystack
- Hubtel
- Default Gateway
These settings affect online invoice collection only.
16.5 Account Mapping
Account Mapping includes defaults for:
- AR / AP / Cash
- Revenue / Expense
- VAT & Levies Liability
- Realized and Unrealized FX gain/loss
- Retained Earnings and Income Summary
- POS posting accounts when POS is enabled
16.6 Document Settings
Document Settings controls numbering prefixes for journals, invoices, bills, and payments.
16.7 Controls
Controls includes:
- Require Transaction Approval
- Read-only Multi-Currency Status
- Prevent Backdating
- Backdate Limit
- Bank Reconciliation Mode
- Period Close Mode
- Audit Trail Level
16.8 Invoice Customization
Invoice Customization manages:
- Branding and logo
- Company contact details
- Tax registration label/number
- Brand colors
- Default notes, terms, footer, and payment instructions
- QR code and due-date display options
- Templates: Modern, Classic, Minimal, Professional
16.9 Currency & Exchange Rates
Currency ownership is shared at the tenant level, not inside Accounting-only settings.
Go to Business Settings > Currency & FX to manage:
- Default currency
- Supported currencies
- Multi-currency enablement
- Default rate source
- Manual exchange rates
Accounting reads those shared settings and uses them for invoice, bill, payment, bank, and FX reporting workflows.
16.10 Approval Workflow Configuration
Go to Accounting Settings > Approval Workflows to configure amount-based workflows for:
- Bills
- Payments Made
- Payment Batches
- Journal Entries
- New Vendors
- Vendor Bank Changes
16.11 Roles & Permissions
Roles, permissions, and broader team access are managed from the shared business team/roles settings, not from a dedicated Accounting Settings page.
Use the tenant team and role-management screens to control:
- Accounting permissions
- Approval rights
- Reconciliation rights
- SoD-sensitive access
16.12 Period Close Templates
Use Accounting Settings > Period Close Templates to define and reorder checklist items used during fiscal-period close.
16.13 Accounting Data Migration
Accounting supports CSV-based migration from the currently supported source platforms:
- Zoho Books
- QuickBooks Online
Where to find it: Sidebar > Settings > Accounting Settings > Data Import
Each source opens its own migration workspace under the generic Accounting migration flow. Use the source card that matches the system you are exporting from.
16.13.1 Recommended Preparation
Before you upload files:
- Export a fresh CSV set from the source system
- Confirm you have accounts.csv available
- Keep related parent and child exports together for documents, payments, and journals
- Use one source per migration run; do not mix Zoho and QuickBooks files in the same upload
16.13.2 Upload and Configure
- Open the migration card for Zoho Books or QuickBooks Online
- Click Upload
- Select your CSV files
- Continue to Configure Migration
- Review detected files, row counts, and preflight results
- Confirm or change the default document prefix
- Start the migration only after all blockers are cleared
The current defaults are:
- Zoho Books migrated document prefix:
ZB- - QuickBooks Online migrated document prefix:
QB-
16.13.3 Required and Companion Files
At minimum, upload:
- accounts.csv
The migration also blocks incomplete companion sets when one side is present. Upload both files together for these pairs:
- invoices and invoice_items
- bills and bill_items
- payments_received and payment_allocations
- payments_made and bill_payment_allocations
- journals and journal_lines
If a child file is uploaded without its parent file, the migration is blocked until the matching parent file is added.
16.13.4 What the Preflight Screen Checks
The configure screen shows:
- Which expected files were detected
- How many records were found in each file
- Missing companion blockers
- Orphan child-file blockers
- Whether the migration can start
If the preflight screen shows Migration cannot start yet, upload the missing files and return to the configure screen.
16.13.5 Progress, Results, and Errors
After you start a run, SikaBooks shows a live progress screen with the current phase and creation totals.
When the run completes, review:
- Total records created
- Any failed rows
- The per-phase progress summary
- The downloadable CSV error log when failures occurred
Use the error export to correct source data issues and rerun a fresh migration if needed.
16.13.6 File Retention
Uploaded migration CSV files are temporary operational files.
Current retention behavior:
- completed, failed, and cancelled run uploads are purged automatically after 7 days
- abandoned upload sessions without a started run are purged automatically after 24 hours
Do not rely on SikaBooks migration upload storage as your permanent archive of the source exports.
16.14 Accounting Tags
When the Tags feature is enabled, the Settings hub also exposes Accounting Tags.
Use it to:
- Create and edit reusable accounting-only tags
- Assign a display color
- Archive tags that should stop being used on new records
- Restore archived tags when they become active again
Archived tags remain visible on historical records and filters, but they cannot be newly assigned until restored.
