Customers are the people and businesses you sell to. Every invoice must be linked to a customer.

Where to find it: Sidebar > Sales > Customers

2.1 Creating a Customer

  1. Go to Sales > Customers and click New Customer
  2. Fill in the required and optional fields
  3. Click Save

Required fields:

  • Display Name — The name shown on invoices and reports

Key optional fields:

  • Company Name — Legal business name
  • First Name / Last Name — Contact person
  • Email — Used for sending invoices
  • Phone / Mobile — Contact numbers
  • Currency — Default trading currency for the customer
  • GRA TIN — Required when the customer is marked VAT registered
  • Is VAT Registered — Used for Ghana tax handling
  • Default Tax Group — Automatically applied to new invoices
  • Payment Terms — Due on Receipt, Net terms, End of Month, or a configured custom structure
  • Credit Limit — Maximum outstanding balance allowed
  • Ghana Post GPS — Digital address for billing and shipping

You can store separate billing and shipping addresses.

2.2 Quick-Add Customer

When creating an invoice, you can add a new customer inline without leaving the form. Click the + button next to the customer selector to open the quick-add modal with the essential contact fields.

2.3 Customer Detail Page

Click any customer name to open the detail page. The current customer workspace includes:

  • Overview — Contact information, balance summary, payment behavior, and customer health
  • AR Analytics — Credit utilization, payment timeline, and aging analysis
  • Invoices — Recent and outstanding invoices
  • Payments — Payments received from the customer
  • Activity — Accounting activity timeline for the customer

2.4 Tax Exemption

To mark a customer as tax-exempt, enable the exemption-related settings on the customer profile. When creating invoices for an exempt customer, tax is suppressed automatically.

2.5 Customer Withholding Agents

If a customer is a designated withholding agent, enable Designated Withholding Agent on the customer record.

This does not reduce invoice totals automatically. It only allows you to:

  • mark an invoice for customer-side income WHT
  • record a receipt where the customer pays net cash and withholds tax
  • track the resulting WHT receivable credit and certificate

In the current invoice and receipt forms:

  • designated withholding-agent customers are labeled in searchable pickers
  • the customer-WHT section stays visible with helper text even before you choose a customer
  • Track customer WHT stays disabled until you select an eligible customer or eligible invoice allocation

2.6 Editing and Deleting

You can edit customer details at any time. A customer can only be deleted if there are no invoices or payments linked to it. Otherwise, deactivate the customer instead so history remains intact.
