Generate professional quotes from deals and track their status through to acceptance.

6.1 Viewing Quotes

  1. Go to Sidebar > CRM > Quotes
  2. Browse quotes by customer, deal, status, and validity window
  3. Filter by status, customer, or date range

6.2 Creating a Quote

  1. Go to a deal detail page
  2. Click Create Quote
  3. Line items are pre-filled from the deal
  4. Adjust items, quantities, and prices as needed
  5. Set the quote expiry date
  6. Add terms and notes
  7. Click Save

6.3 Managing Quote Status

  • Draft -> Sent — Send the quote to the customer
  • Sent -> Accepted — Customer accepts from the CRM or portal
  • Sent -> Declined — Customer rejects the quote
  • Validity expiry — Sent quotes become time-expired for acceptance once the validity date passes

Important lifecycle rules:

  • Accepted quotes are treated as commercial commitments and should not be moved back to draft
  • Quotes that already produced an invoice are locked from destructive reversions
  • Expired quotes cannot be accepted from the portal

6.4 Quote PDF

  1. Go to the quote detail page
  2. Click Download PDF
  3. The PDF includes your business details, customer info, line items, and terms

6.5 Customer Portal Access

Customers can view, accept, or decline quotes via a signed portal link:

  1. Open the customer profile
  2. Use the Portal Access action to generate or open the signed portal link
  3. Share the secure link with the customer (no login required)
  4. The customer can open the Quotes area in the portal and accept or decline the quote
  5. If the quote is past its validity date, the portal will no longer allow acceptance
